Treat booking and approval as two separate tasks
A clinic appointment and an HMO letter of authorization, or LOA, answer different questions. One reserves or requests time with a provider; the other concerns authorization for a specified service. Before travelling, make sure you understand the status of both.
For example, MediCard's face-to-face appointment guidance says an approved consultation form does not itself secure an appointment. It also distinguishes its free-standing clinics from other accredited facilities. This is a provider-specific example, so follow your own HMO's current process.
Identify the exact visit
When you contact the clinic, have the doctor's name, intended branch, proposed date, and reason for the appointment ready. Ask whether the doctor accepts your particular membership at that location. A hospital's accreditation is not enough information to settle every visiting doctor's arrangements.
If someone else is booking for you, agree who will communicate with the HMO and who will confirm the clinic slot. Keep a short record of the reference number, contact person, and any unresolved questions so that two people do not make conflicting requests.
Use this pre-visit checklist
- Membership: Is this member currently eligible, and is the correct employer or individual plan being used?
- Provider: Are the exact doctor, facility, and branch accepted for this visit?
- Service: Is the request for consultation, a test, a procedure, or several separate services?
- Documents: Does the clinic need a referral, doctor's request, identification, membership card, or printed approval?
- Validity: What date, provider, and service appear on the approval, and what happens if the appointment changes?
- Booking: Has the clinic confirmed an actual slot or explained its walk-in queue?
Read the approval alongside your benefits
Do not interpret the word 'approved' as a promise that every expense connected with the visit will be paid. Ask which items are authorized and whether any charges remain yours. Request clarification before optional services are added.
MediCard's Standard product page separately describes benefits, exclusions, and conditions. Its published terms illustrate why a product name or card alone is not a complete explanation of coverage. Your own current agreement and the HMO's response to your request are the relevant documents.
If the doctor orders tests
Ask whether the original consultation approval also covers the newly requested service or whether another request is needed. Confirm the test's exact wording and intended facility before submitting. The receptionist can explain the administrative route; the ordering clinician should clarify any unclear medical request.
Before paying privately because approval is pending, ask the HMO whether reimbursement is possible and what evidence it would require. Do not assume a receipt automatically makes a later claim eligible. If the situation is urgent, seek appropriate care rather than waiting for an online administrative request.
A short message you can send
'I would like to see Dr. [name] at [branch] on [date] using [HMO and plan]. Please confirm acceptance, the appointment process, required authorization, and any charges I should expect to pay myself.'
Save the reply and recheck if the doctor, branch, date, or requested service changes. You can use PDL's directory to discover providers, then confirm membership acceptance directly; directory inclusion does not establish HMO accreditation.
